Briarwood Hills Wedding & Event Venue

By booking Briarwood Hills Wedding & Event Venue or using this website, you agree to the following Terms & Conditions. These terms are designed to ensure a safe, enjoyable, and well-managed experience for all guests and events.
1. Use of Premises & Grounds
The facility and grounds are to be used only for the purpose stated in your rental agreement and only during your contracted event time.
- A designated event contact (not in the bridal party) must communicate with the Facilities Manager before and during the event.
- This contact must check in and complete final sign-off to ensure return of the security deposit.
- Smoking and vaping are strictly prohibited in the building, patio, lawn, and gazebo areas. Smoking is only permitted in designated areas.
- No pets are allowed unless they are service animals or pre-approved in writing.
- Children must be supervised at all times.
- No driving or parking on lawn or patio areas unless pre-approved for accessibility needs.
The on-site Facilities Manager has full authority to monitor activities and enforce all rules. Failure to comply may result in termination of the event.
2. Decorations & Property Use
- No nails, tacks, or staples may be used on walls, doors, bar, or woodwork.
- Only painter’s tape or command strips are permitted.
- All decorations must be removed at the end of the event.
- Items left behind become the property of Briarwood Hills.
Restrictions include:
- No open flames or exposed wick candles (flame must be contained below rim)
- No fireworks, lanterns, or balloon releases
- Sparklers allowed outdoors with water nearby
- No bounce houses, mechanical bulls, or arena-style setups
- No shelled peanuts
3. Setup, Cleanup & Responsibilities
The renter is fully responsible for:
- Setup and breakdown within contracted time
- Weather-related ceremony adjustments
- Removing all décor, food, beverages, and personal items
- Proper trash disposal (including grounds and surrounding areas)
A final walkthrough will be completed with the Facilities Manager to determine deposit return eligibility.
4. Security Deposit & Damages
A $400 Security/Damage Deposit will be refunded within 20 days after the event if:
- No damages occurred
- Cleanup requirements are met
- Contracted time was respected
If damages, excessive cleaning, or overtime occur, costs will be deducted.
If damages exceed the deposit, the renter agrees to pay the remaining balance immediately upon notification.
5. Liability & Indemnification
The renter agrees to indemnify and hold harmless Briarwood Hills Wedding & Event Venue, its owners, officers, and agents from any:
- Injury
- Damage
- Loss
- Claims or legal actions
This includes incidents caused by the renter, guests, vendors, or anyone on the premises during the event.
The renter is also responsible for all legal costs, including attorney fees, associated with such claims.
6. Personal & Abandoned Property
Briarwood Hills is not responsible for lost, stolen, or damaged personal property.
Any items left after the event become the property of Briarwood Hills Wedding & Event Venue.
7. Cancellation Policy
All cancellations must be submitted in writing.
- Within 7 days of booking: Full refund minus $100 administrative fee
- More than 90 days before event: 50% refund of total rental fee
- Less than 90 days before event: No refund of rental fee
- Security deposit will be refunded if applicable
If Briarwood Hills cancels due to weather, emergencies, or circumstances beyond control, all payments will be refunded.
8. Insurance Requirements
Insurance is mandatory with no exceptions.
The renter must provide a Certificate of Liability Insurance at least 10 days prior to the event including:
- $1,000,000 bodily injury and property damage coverage
- $1,000,000 host liquor liability (if alcohol is served)
- Briarwood Hills named as additional insured
Failure to provide insurance may result in immediate cancellation and will be treated as a renter-initiated cancellation.
9. Alcohol Policy
If alcohol is served:
- A licensed bartender must be used with proof submitted 30 days prior
- No alcohol for anyone under 21
- No service to visibly intoxicated individuals
- No alcohol sales allowed
- No alcohol consumption in parking areas
- Kegs must remain on the patio
- No indoor drinking games
The renter assumes full responsibility and liability for all alcohol-related activity.
If no alcohol is served, a No Alcohol Waiver must be signed.
10. Conduct & Enforcement
The Facilities Manager reserves the right to:
- Request ID for alcohol verification
- Remove guests violating policies
- Shut down the event if rules are not followed
This includes situations involving underage drinking, intoxication, or unsafe behavior.
11. Force Majeure
Briarwood Hills is not liable for events impacted by:
- Severe weather
- Emergencies
- Government restrictions
- Other uncontrollable circumstances
Rescheduling options may be provided when possible.
12. Website Use
All content on this website is the property of Briarwood Hills Wedding & Event Venue and may not be copied, distributed, or reused without permission.
13. Disputes
Any disputes arising under these terms shall be handled in the local jurisdiction of the venue owner.
